How Circular IT group completed a large-scale European data centre decommissioning project

What began as a request to decommission equipment at two telecommunications sites quickly evolved into one of Circular IT group’s largest multi-site data centre decommissioning projects to date.

Today, the ongoing project spans more than 100 telecommunications sites across Europe, ranging from remote fibre network locations to large data centres containing up to 40 equipment racks.

The project is expected to recover more than 13,000 line cards, including 1,500 commercially committed assets that required secure handling, serialised reporting and international shipment within strict delivery deadlines.

We delivered a complete end-to-end solution, including technical decommissioning of live infrastructure, engineering services, secure IT asset disposition, international logistics and fully auditable reporting.

The challenges of multi-site data centre decommissioning

Our customer needed a European partner capable of managing complex IT asset recovery across a diverse range of telecommunications sites.

Initially, the project appeared straightforward. Equipment was expected to be powered down and ready for collection.

Once work began, the reality was very different.

Many systems remained live, fully cabled and operational. The sites required complete technical decommissioning carried out by experienced engineers.

Fortunately, this is exactly the type of project Circular IT group is built to deliver.

Managing shifting requirements

At the same time, all commercially committed hardware had to be recovered, securely data-wiped and prepared for international shipment, all meeting strict delivery deadlines.

To minimise the risk of delays, every asset was securely tracked throughout the process and prepared using standardised packaging, palletisation and reporting procedures, ensuring complete traceability and consistent quality.

As the project progressed, the scope also expanded. Sites originally estimated to contain 1 to 5 racks actually contained as many as 40. Rather than letting this impact delivery schedules or costs, engineering resources, transport planning and warehouse capacity were continuously reviewed and adjusted quickly without compromising quality or agreed timelines.

Coordinating 100+ European sites

Coordinating work across more than 100 locations brought operational complexity. Every site required detailed planning, local access requests, and compliance with site-specific procedures. All while engineering, logistics and warehouse teams remained closely aligned to keep the project moving.

Our solution

To meet these changing requirements, we implemented a flexible delivery programme that could adapt as new information became available.

Planning was carried out in structured cycles and continuously reviewed as site conditions changed. As larger rack volumes and live environments were identified, engineering teams, transport schedules and warehouse operations were adjusted to match the actual work required rather than the original estimates.

Technical decommissioning

Where sites required technical intervention, qualified engineers carried out the complete decommissioning process, including powering down equipment, safely removing cabling and dismantling racks before assets were prepared for transport.

For assets with strict commercial deadlines, every unit was wiped and serialised, securely palletised and prepared for international shipment with full reporting.

Every stage of the project was delivered through Circular IT group’s certified management systems, including ISO 9001, ISO 14001, ISO 27001, ISO 45001 and WEEELABEX. These internationally recognised certifications provided the customer with confidence that every asset was managed securely, consistently and in accordance with documented quality, security, environmental and health and safety processes.
